1. Collect the right details, kindly
You only need a name, a phone number and, if they are happy to give it, an email address and how they heard about the church. Keep the card or form short. A QR code on the screen during announcements lets visitors fill it in on their own phones, which is faster and avoids handwriting that nobody can read on Monday.
2. Reach out within 24 hours
The first message matters most. Send it the same day or the next morning while the visit is fresh. Thank them by name, say you were glad they came, and do not ask for anything yet.
"Hello Ada, thank you for worshipping with us at Grace Assembly today. We were glad to have you. God bless your week."
3. Follow a simple rhythm for the first month
- Day 1: a warm welcome.
- Day 3: a short check-in, and a phone call from a welcome team member if you can.
- Day 7: an invitation back for this Sunday, mentioning something specific such as a midweek service or youth meeting.
- Day 30: an invitation to your Foundation or Membership Class, the natural next step.
Four contacts in a month feels caring. Daily messages feel like pressure.
4. Make it personal, then make it consistent
Use their name, sign off as a person, and vary your wording so it never sounds like a machine. Then make sure it actually happens every week, even when the welcome team leader travels. Consistency is where most churches fail, so put it in a system: a shared list with dates, a named person responsible for each week, or software that sends the messages for you.
5. Hand them to a person, not just a programme
Messages open the door; people keep it open. Assign each visitor to a worker or cell leader who greets them by name next Sunday, and record when they were called or visited so nobody falls through the gaps.
6. Watch who comes back
Track attendance for your newcomers for their first two months. Someone who came three Sundays and then stopped needs a call more than a text. Celebrate the ones who join a class or a cell; that is the real measure of good follow-up.
Doing this with EasyChurch
EasyChurch runs this rhythm automatically. Visitors register with your QR code, and every morning at 9am the Day 1, Day 3, Day 7 and Day 30 messages go out from your church's own SMS account, in several wordings that take turns. Follow Up tasks assign people to workers, and attendance shows who is coming back. See how automatic first timer follow-up works.
Questions
How soon should we contact a first-time visitor?
Within 24 hours. A short thank-you message the same day or the next morning has the greatest effect.
How many times should we follow up?
About four times in the first month, on Days 1, 3, 7 and 30, with a personal call if possible. More than that can feel like pressure.
What should the first message say?
Thank them by name for coming, say you were glad to have them, and keep it short. Do not ask for anything in the first message.
